Managing orders without stress

When orders start coming in, it is easy to lose track. A missed message or a forgotten delivery can cost you a customer. A few simple systems keep everything organised, even when you are busy.

Keep one order list

Use a notebook, a spreadsheet or a simple app to record every order in one place. For each order, note:

  • Customer name and contact
  • Product and quantity
  • Amount and payment status
  • Delivery address and date
  • Order status: new, packed, sent, delivered

Confirm every order

Send each customer a short confirmation with what they ordered, the total and when to expect delivery. This prevents misunderstandings and makes you look professional.

Set a daily routine

Choose set times each day to check messages, confirm payments, pack orders and arrange deliveries. Working in batches is faster and less stressful than jumping between tasks all day.

Keep stock up to date

Update your stock as soon as an item sells. Selling something you don’t have is one of the quickest ways to lose trust.

Prepare for problems

Delays, wrong items and returns will happen. Decide in advance how you will handle them, and write a short policy you can share with customers. Responding calmly and quickly turns problems into loyal customers.

Review every week

Once a week, look at your orders: what sold, what was late and what customers asked about. Small improvements each week add up to a smooth, growing business.
