Good communication wins more clients than a perfect portfolio. The way you reply to a first message tells the client whether you are reliable. Here is how to sound confident and professional, even when you are new.
Reply quickly and clearly
Try to reply to new messages as soon as you can. A fast, clear reply shows you are serious. Greet the client by name, thank them for reaching out, and show you understood their request.
Ask the right questions
Before you agree to a job, make sure you understand it. Useful questions include:
- What is the main goal of this project?
- Do you have examples of what you like?
- When do you need it?
- What files or information can you share?
Asking questions does not make you look inexperienced. It shows you care about getting it right.
Set expectations early
Tell the client exactly what they will get, when they will get it and how many revisions are included. Clear expectations prevent most disagreements later.
Give updates before they ask
A short message like “Just to update you, the first draft will be ready tomorrow” makes clients feel looked after. If there is a delay, tell them early and give a new time.
Handle revisions calmly
Revisions are normal. Thank the client for the feedback, confirm what they want changed, and make the changes. If a request is outside what you agreed, politely explain and offer it as an extra.
Keep it polite and professional
Even when a client is difficult, stay calm and respectful. Keep all communication on the platform, keep messages short and focused, and always end with a clear next step.
